Who we are

The Whippet Club, formed in 1899 is the only breed club in Britain to cater for all working Whippet disciplines.

Comments

Visitors may leave comments on this website’s news posts. When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection. An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

We advise that no-one leaves personally identifiable information in comments. Comments are held securely in our database. If you believe you have left a comment on this site and would like your comment(s) to be removed, please contact the Web Admin using this form and they will delete your comments from the website, and remove them from the database. Contact forms

We use contact forms in order for you to get in touch with us. Emails are held on the web server unless deleted over IMAP by the account holder.  We use Secure Sockets Layer to encrypt data between our web server and your browser. This link ensures that all data passed between the web server and browsers remain private and integral. We use up-to-date security measures, including brute force protection to ensure that data is secure.

Cookies

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

As The Whippet Club is a membership based organisation, your personally identifiable information is kept in a spreadsheet to enable The Whippet Club to send you The Whippet magazine twice a year, renew your membership each year and send you news, when available. The spreadsheets exist on a sole computer with strong security software. Paper applications are held in a secure location. 


What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes. An export file will be sent to you with your details and all comments you have made on the website based on the email address supplied when commenting.


Your contact information

The only contact information we hold on the web server are email addresses supplied when commenting. If you have commented on a news post using a Facebook or twitter account the data resides with the social network used to comment with. The only registered user data we hold belongs to website administrators.

Paper applications are held in a secure filing cabinet. As shown in the application form; permission is sought to hold these details on one computer, with strong security software installed. For those members who wish to renew their membership automatically, we ask that members set up a standing order to pay The Whippet Club membership once a year. No details are required from members for standing orders.

Additional information

How we protect your data

We use strong security software to ensure that the website is protected against brute force attacks and malware. Hard copy paperwork is held in a  secure location, and membership details are held on one computer with security measures in place. 

What data breach procedures we have in place

This website uses software that records and notifies of any potential and ongoing data breaches. If a data breach occurs, it will be used to ascertain the severity and logs will be used to inform those affected by the breach. This is a very unlikely scenario, as very little personal data is held on the website database and server. Only visitor comments might be affected. 

What third parties we receive data from

We use Google Maps API to embed maps in the website. No other data is received from third parties.

What automated decision making and/or profiling we do with user data

No automated decision making or profiling is done with user data. Registered user roles are restricted to website administrators.
